Fireflies.ai: Workflow, Plan Limits and Evaluation
Captures meeting transcripts and summaries, with searchable notes, integrations and separately metered AI features.
Who should consider Fireflies.ai
Teams that need meeting notes to flow into a shared operational workflow. Start with one destination system before connecting an entire sales or project stack.
Features and pricing
The vendor lists transcription, meeting search, AskFred and file uploads. Pro adds downloadable records and integrations; higher tiers add team analytics and governance features.
Free lists limited AI summaries, 400 minutes of storage per team and 20 AI credits. Pro is displayed at $10 per seat per month billed annually, with 8,000 storage minutes per seat. Unlimited transcription is marked with conditions; storage, AI credits and rate limits remain separate constraints.

A practical evaluation task
Use an authorized internal demo meeting to produce a summary and a draft CRM note. Include one tentative next step and one confirmed commitment so you can test whether the distinction survives.
Keep the integration disconnected for the first pass. Compare the generated note with the transcript, then inspect the proposed destination, record identity and field mapping in a sandbox before allowing writes.
What a useful result must pass
Accept only if tentative tasks remain tentative, the correct account is selected and no unrelated meeting content enters the destination. Repeat the transfer once to check duplicate handling. Measure cleanup effort rather than simply counting captured meetings.
Limits and data access
A calendar, meeting recorder and CRM connection create different data paths. Review each scope, sharing rule and deletion requirement. Team storage can fill even when transcription is advertised as unlimited; downloaded records also create copies outside the meeting service.
Alternatives and tradeoffs
Compare Otter when transcript review and meeting chat are the main jobs. Consider Read AI when evaluating broader connected-work search, using the same permission and source-checking trial.
